Witney Carnival Booking Terms and Conditions

1. Process

Stallholders are required to submit an online form via the carnival website (https://witney-carnival.uk/traders/) or via email to stalls@witney-carnival.uk.

Stallholders are required to supply the following documentation:

  • Public Liability Insurance
  • Food Hygiene rating (if applicable)
  • Risk Assessments

2. Charity Stallholders

  • Must prominently display a letter from the charity for which they are collecting, stating that the collection is taking place on their behalf.
  • ALL proceeds MUST be given to the charity you are representing

3. Sale of Food and Drink

  • The Witney Carnival Committee use a franchise for catering. The committee reserves the right, without explanation, to refuse entry to any stall holder selling refreshments.

4. Parking

  • NO parking is allowed on the Leys site except for a single vehicle as stated in the pitch requirements.
  • All vehicles must be removed by 11.30 am on the day of the Carnival.
  • RE-entry to the carnival site for stall holders and exhibitors is permitted from 16.00hrs.

5. Equipment

  • Stallholders are responsible for providing ALL equipment.
  • The Carnival Committee CANNOT provide tables, chairs, canopies, etc.
  • There is NO electricity supply available on the carnival site.

6. Decoration

  • The name and address of the company/charity must be prominently displayed

7. Stock and Supplies

  • Vehicle movements are not permitted within public areas between 11.30hrs and 16.00hrs.
  • Please note: Witney Carnival has previously attracted crowds of up to 10,000 people.

8. Showmen’s Guild

  • Witney Carnival is NOT a Showmen’s Guild site

9. Music

  • The Carnival Committee reserve the right to request that music be turned off or reduced in volume.
  • Stalls with music are responsible for individual registration with the Performing Rights Society and must display PRS certificates prominently.

10. Safety and Security

  • Stallholders are responsible for the Health and Safety on-site of volunteers and the public using your stall or equipment.
  • We advise you not to keep excessive amounts of money on site.

11. Rubbish/Litter

  • Stallholders are responsible for removing and appropriately disposing of ALL refuse generated.
  • Failure to remove litter from the site will incur a £25 removal charge
  • Bins are provided for carnival attendees ONLY not traders or charity stalls. These will be located around the site for litter only.
  • Stallholders are responsible for the regular removal of refuse throughout the day.

12. Payment

  • ALL payments must be received in advance of the Carnival date: Saturday 6th July 2024. Failure to do so could result in Witney Carnival cancelling your booking.

13. Cancellation

  • Witney Carnival Committee shall not be liable for any costs incurred by stallholders in the event of cancellation by either party.
  • All stallholders must have Public Liability Insurance. A copy of which must be included with their application form.
  • Neither Witney Carnival nor the Witney Town Council can be held responsible for any loss or damage to property or injury to any person caused by the day’s activities, the weather or any other reason or cause.
  • Public Liability Insurance cover notes and/or certificates should be displayed prominently on all stalls and pitches.

THE CARNIVAL COMMITTEE RESERVE THE RIGHT TO REFUSE ADMISSION TO AND/OR PARTICIPATION IN THE EVENT.
